Dues
The DaDs are moving to a donation platform instead of dues. Here’s why?
Before we dropped our dedicated servers we normally had a one year buffer in our treasury. For example our bills were approximately $2,000 a year. So at the end of a dues cycle we would briefly have $4,000 in the treasury. (One years cost plus the dues we had just collected ) Then the bills would roll in and the treasury would drop to the one year buffer. We dropped our servers at the end of a dues cycle and so we ended up with $4,000 in the treasury ($2,000 buffer and the dues we had just collected). We immediately dropped our dues to half of what they used to be AND reduced our membership (60) to only the core members (31). At that time HQ estimated our expenses with a little buffer. It turns out that HQ’s estimate was a little high. With no plans to rent a server (at least not the size we once had) our treasury has grown to $4,500 dollars. After a year of actual expenses we have about $350 to $400 of expenses per year for the Forum, Team Speak and the DaDs domains .com and .net and an annual donation to the Papa Jim Memorial Fund.
So going forward members will be encouraged to donate but it won’t be mandatory. If you have already paid your dues for the current dues cycle and would like a refund or partial refund just let Jade know via pm or in TS and he will take care of it.

We are already in the process of writing to all the former members to notify them of our move to a donation only policy.

As you can see the finances of the team are a moving target. Should the treasury approach a point where we need to return to a dues policy HQ will make that decision and let all of the members know.



The Treasury – What should we do with the money we have?
HQ has been having an ongoing discussion about this. Here are some options and we are open to other ideas.

1. Do nothing. It’s a resource to the clan in the event that we need it in the future. Look at it like insurance.
2. Game Rebate – if the members could settle on ONE game they would like to play as a group we could rebate a portion of the cost to help everyone get on the same page.
3. Charity Event – Hold a night of gaming for a charity, Wounded Warriors, Habitat for Humanity, whatever. Members would pay to play (and that would be donated to the charity) and the DaDs would put up some prizes New Video Card or Mobo, something like that to the winners of the match. Another idea would be for us to match, up to a certain amount, the total that was collected for the night to give to the chosen charity.
4. Help offset some of the cost of a DaDs meetup.
5. Start up a small server again for a single game to encourage us to play together rather than being so fragmented.

Next Game
Battlefront – Many of us were thinking that this might get all of us back to playing a game together. Unfortunately with the announcement that Battlefront won’t allow dedicated servers and will use a matchmaking system that doesn’t look like it will be the next BIG game to bring us all together.
Does anyone have a suggestion for a game for us all to move towards?

Recruitment
The item above raises the issue of new members. First, we have a very stable team here at the present. We have members that are on one game or another and often in TS on any given night. We cover our expenses.

We have just recently developed a small Social Media presence (Wise has been watching over this for us and HQ thanks him for his efforts).
Do we need to grow the clan? If yes there seems to be two business models out there for this.

1. Non game centric-TAW (the Art of War Clan) with over 1200 members they don’t rely on a single game but instead have different factions that are dedicated to different games. The different factions do their own recruiting. So each faction has THE game that their potential new members are interested in. So TAW is NOT a game centric clan it is a gaming community. It’s important to recognize that many of the members have never even talked to one another.

2. Game Centric – This is a clan that is dedicated to one game. We all know of clans that ONLY play WOT or One of the Battlefield series. These groups risk the dissolution of the clan if members move to another game and all the members don’t move with it. However these are tight communities where all the members know each other.

At present we are a little of both. We don’t play a single game but we all know one another. It’s important to see that in both 1 and 2 above, new members come to the clan via the GAME they are interested in. Think of how you found the DaDs.
So what are the member’s thoughts on recruitment? Is it a big issue and why? If yes what should we do about it? How to go about it when we don’t have a single game to attract new blood?

 

HQ – Membership
HQ is seeing some changes coming in the near future.

Norse is retiring from the Navy after giving long and proud service to our wonderful nation. He is moving into civilian life with MANY changes.

Plasmazombie has entered that WONDERFUL period of parenthood known as the TEENAGE GIRL PHASE, we can only feel for his situation : ) Plasma is a dedicated parent who is always there for his girl.

Both Norse and Plasma will retain the role of Senior Advisor when HQ needs another opinion.

Robb. What can we say about the longest serving member of HQ. His advice is always well reasoned and he is a fount of knowledge about the history of the clan. This is VERY valuable to us so we don’t go through organizational amnesia! But after graciously coming back to help us out during this time of transition he would like to go back to just plan old Robbthebruce with an occasional stint as team Captain! Robb will also retain the Senior Advisor position to HQ should they need another opinion.

Jade. Outside of being able to add, there’s not much to say about this guy. He has been treasurer for four years and been a member of HQ for the last 2 years. For the purpose of continuity, Jade has agreed to stay on as we transition to new HQ members. At that time Jade will also step aside for a member to take his place in HQ.

HQ started the replacement process last month and we have a member who is giving serious consideration to accepting the position. A word about HQ recruitment. HQ members are not elected, they have always been appointed by the current members of HQ. This helps to provide a continuum of core values and history to the team and insures that the new members will mesh with the HQ members who are not leaving. However, members who are interested in HQ can always make their desire to serve the clan known to any member of HQ. In practice, this almost never happens and HQ has to approach individual members to see if they are willing.

 

Not an agenda item but here is a list of things we have tried to get all of the members playing a single game, each of which didn’t work:
1. HQ approached some members and asked if they would agree to play one game for several nights each week. Hoping the other members might follow.
2. We designated Sundays as GAME day with times that helped our Euro brothers play. We established COD and WOT as the two games to be played.
3. We held COD nights via the calendar.

Hope to tune in, at minimum I should be OK to listen in. Most of what you wrote up already on the docket is what I would have liked to hear you discuss anyway. Have had a busy mind bending weekend, between kid's sports and other incidents. My mother in law who we take care of, and was just cleared to drive on Friday after her hip surgery, fell and broke a bone. She was at the hospital that night because, her son,  my brother in law, who doesn't really take care of himself, has been in the hospital the last two days due to low blood sugar, needing to go on insulin and trying to get all that stable. SO PEOPLE TAKE CARE OF YOURSELVES!!!!!  :)  ;)  :D I think I am going out for a jog or bike ride with the kids right now!!!  :ph34r:

Comments:

General comments were that we should keep our surplus as insurance for future expenses unless we can find a game we all want to play. It was mentioned that we could do a once a year promotion to encourage donations Burner agreed to host a Public TV type fund raiser each year : )

 

No one disagreed with the move to a donation only platform at this time and everyone understood that if we reach a point where we need to move back to dues HQ would notify everyone and state the reasons why.

 

Also, if you ever see a game like the two we mentioned that are on a sale of some sort, in that 3 to 6 dollar range, buy 10 keys and have it ready to gift out to members to motivate and fill the slots!

 

 

Next Game

Battlefront – Many of us were thinking that this might get all of us back to playing a game together. Unfortunately with the announcement that Battlefront won’t allow dedicated servers and will use a matchmaking system that doesn’t look like it will be the next BIG game to bring us all together.

Does anyone have a suggestion for a game for us all to move towards?

Comments:

Insurgency was brought up and it is on the humble bundle on steam till the end of the day several members purchased one or the other of these two games during the meeting.

Also, Red Orchestra Rising Storm was suggested as another option also on the humble bundle.

Plasma posted the link to the Humble Bundle in the forums for the two games mentioned above.

It was generally agreed that putting up events on the calendar normally resulted in a good turnout of DaDs members.

It was generally agreed that we need a game to play as a group at least several times a week in order to draw new members into the clan and that we are in a good situation where we can encourage new members since we don’t have dues to pay anymore.

It was mentioned that we need to be proactive on game forums. To accomplish that, the clan needs to see if some members would be interested in accepting responsibility for posting on game forums to keep us in front of people who are looking for a clan. However, It was pointed out that posting on game forums alone without having a group ACTUALLY playing that game is counterproductive.

We agreed that if a person wants to have DaDs tags they have to:

• Send in an application

• Meet the requirements for being a DaDs member, ie be a parent

• After we receive their application they would have up to several weeks for us to make a decision about granting them tags.

We decided that HQ will look at what portions of the forums we could open up to the public.

Comments:

HQ, as stated above, has been looking for replacements for about one month having approached one member who is considering the offer. They are hoping to wrap up their search for replacement HQ in around one month. As of this writing HQ has approached 3 additional members without success. Anyone interested in HQ membership should pm any member of HQ. HQ never reveals who it is talking to so as not to embarrass the members who feel they cannot serve at this time. So if you are interested you can pm HQ knowing your communications will be respected and confidential. Interest does not equate with appointment to the post but it's a least a start when we are considering who should join HQ.

Wait, what... NO... I said, use some of that money to put up a psychiatric fund for Robb, because he is nuts. He was in HQ for too long the first time, and then HE WENT BACK. Nuts I tell you, nuts...
